Make an event and share it

29 October 2026

On the home page, pick the days, set the hours and press Create event. You get a link to send to the group. Everyone who opens it types a name and marks when they’re free. Nobody signs up, you included.

Choose the days

  1. Give the event a name under What’s it for? It’s optional, but the name shows on the event page and in the preview when you paste the link into a chat. “Thesis defense, Ana” tells people more than “Meeting”.
  2. Under Which days?, choose Specific dates or Days of the week.

Specific dates for a one-off meeting; days of the week for something that repeats every week.

Specific dates is for something that happens once. Tap days on the calendar, or drag across several to pick them in one go. Past days can’t be picked, and an event can have up to 60 days.

Days of the week is for something that repeats. Monday to Friday are picked to start with. People answer for a typical week, not for particular dates, so the same event works all semester.

Set the hours

Under What times?, choose the earliest start and the latest end, in whole hours. Keep the window as narrow as the meeting allows. Each extra hour is another stretch of grid everyone has to fill in, often on a phone.

People mark their times in half-hour cells. If someone needs quarter hours, Expand to 15 min above the grid splits each cell in two.

Check the time zone

Below the hours you’ll see Times in and a city. That’s your device’s time zone. Change it only when the meeting is tied to another place, for example when you organise a call for a team in another city.

Everyone who opens the link sees the times in their own time zone, with a link to switch to the event’s zone. A group spread over several zones needs nothing extra.

Press Create event. The event page opens with a box that says Your event is ready and a Copy link button. Send the link wherever your group talks, then add your own times below.

Share at the top of the page shows the link as a QR code. Put it on a slide at the start of a class or a club meeting and people can answer from their phones while you’re still talking. On a phone, Share also opens the phone’s own share menu.

If you already started a when2meet

Under the form, Already have a when2meet? Bring it over makes a new event from a when2meet link, with the same days, hours and everyone’s answers. The details are in How to split a when2meet into pairs or small groups. ScheduleSquared isn’t affiliated with when2meet.

How long the event stays

Events on specific dates are deleted 90 days after their last day. Days-of-the-week events are deleted after 180 days without a new answer. The date is at the bottom of the event page.
