ScheduleSquared keeps as little as it can: what an event needs to work, for as long as it matters, and nothing about who you are beyond the name you type.
What’s stored on our server
- Each event: its title, its days, its hours, its time zone and when it was made.
- Each answer: the name the person typed, the times they marked as free, and when they last changed them.
Anyone with an event’s link can see its title, the names in it and everyone’s free times – that’s how the group finds a time. Events aren’t listed anywhere and are hidden from search engines, but treat the link like the group chat it’s sent in.
What stays on your device
- Calendars you import. Screenshots, PDFs and .ics files are read in your browser and never uploaded. Only the times you then mark as free are saved, like any other answer.
- Three small cookies:
s2nameremembers the name you last answered with,s2mewhich name you used on a particular event, ands2envyour language and time zone, so pages are drawn right the first time. They aren’t used to track you, and they never leave this site. - Your browser’s storage keeps your recent events, which of them you made, and whether you’ve answered someone else’s event. It never leaves your device, except that we count how many new events come from people who first answered someone else’s – a yes or no per event, with no names.
How long it’s kept
- Events on specific dates are deleted 90 days after their last day.
- Days-of-the-week events are deleted after 180 days without a new answer.
- Answers go with their event. You can also remove your own answer at any time, on the event’s page.
Who else handles it
- Vercel hosts the site. Like any web host it sees your IP address to send you the page, and uses it to guess your time zone; we don’t store it.
- Neon hosts the database where events and answers live.
- jsDelivr serves the free libraries that read calendar files and plan groups. Your browser downloads them from there the first time you use those features; your files are never sent.
When you bring over a when2meet, our server fetches that one page from when2meet.com to copy its days, times and answers into the new event.
Your rights
You can see, change and remove your own answer on the event’s page. For anything else – a copy of what we hold, removing a whole event, or a question – write to help@schedulesquared.com. We use this data only to run the service you’re using (GDPR Art. 6(1)(b) and (f)). If you think we’ve got something wrong, you can complain to a data protection authority, in the Czech Republic the Office for Personal Data Protection.
ScheduleSquared is run by Vojtěch Kubala. This page will say so, with its date, whenever what we keep changes.
